Membership Committee Meeting Minutes

11/23/10 6:30 pm

Location:  Buske Residence


Meeting called to order at 6:35pm


Committee members present Bob Morss, Dave Coleman, Mike Ardoin, Jim Buske, Gayle Buske


Minutes:  This was the first meeting so there were no previous minutes.

New Business

1)      Membership process

a.       All officers can sign up new gun club members.

b.      Officers will be given a “new member kit” that they should carry with them in their cars.  Gayle will put the kit together.  The kit will include:

                                                                           i.      Folder to hold the materials

                                                                         ii.      A couple pens

                                                                        iii.      Blank membership cards

                                                                       iv.      Current gate combination

                                                                         v.      Application form/waiver form (will be combined into one)

                                                                       vi.      Paper clips (to be used to clip the new member’s check or money to their application form.

                                                                      vii.      8.5x11 manila folder to be used to keep new member sign ups in the kit.  The manila folder with new registrations is to be brought to monthly club meetings and turned in to Membership Director, Dave Coleman.

                                                                    viii.      Club brochures

c.       ALL new member registrations are to be turned in ONLY to Dave Coleman.  NO registrations should be turned in EXCEPT at monthly club meetings so that a record can be made in the minutes of all new members.

d.      Dave will log the new members in the membership list and then remit their funds to Treasurer.

e.      Treasurer may NO LONGER accept renewals directly.  ALL renewals and new members must be relayed to Dave to follow proper procedure.

f.        Dues will increase from $35 per year to $45 per year effective immediately.

g.       If anyone signs up from here on out, their dues will be $45 and are good through April 1, 2012 (twenty-twelve).

h.      The application form on the existing flyers are obsolete and will no longer be used.  We will use up the supply we have and then reprint without the membership form.

i.         All new members must sign a range waiver form.  BEFORE they are issued the new membership card and gate code.

j.        All member renewals must sign the range waiver form BEFORE they are issued the new membership card and gate code.

k.       Gayle will revise the application/waiver per the committee’s instructions.

l.         New membership cards will be designed and printed on the “club’s green” that we used for the gun show.  A list of the club’s contacts will be placed on the back of the membership card.

m.    About March 1 we will do a mailing to all members on the member list letting them know that dues are due.  We will give them four options to pay:

                                                                           i.      Pay online (assuming we can find an online company that will allow us to collect online.  Paypal won’t allow anything gun-related.)

                                                                         ii.      Send their money and application in the mail.

                                                                        iii.      Come to a meeting

                                                                       iv.      See an officer

n.      Our eventual goal is to have 100% of our club members be NRA members as well.  This will allow us to apply for range improvement grants through the NRA.  To accomplish this:

                                                                           i.      We need to start tracking how many NRA members we currently have.  This will be asked on the application form.  Members will need to list their NRA member number on our application.

                                                                         ii.      Encourage COGC members to become NRA members.  Let them know that we can get range grants.

                                                                        iii.      Dave has the ability to sign up NRA members on behalf of the NRA and he can renew NRA memberships as well.  As a bonus, for every NRA member our club signs up, we get $10.

                                                                       iv.      In 2-3 years we, as a club, will REQUIRE NRA membership.  When we require it, we will knock $10 off their COGC registration if they join/renew NRA membership through COGC.

o.      Sheriff’s office dues are due.  Craig will locate the exact amount of their dues and send them an invoice.  ALL deputies and the sheriff must sign the club waiver and be placed on the club membership list individually.

2)      Membership drive

a.       It was decided that it is too soon to do a membership drive.  We first need to make some range improvements and get the legalities of the club in order before we can do a membership drive.  When we are able to do a membership drive, we have the options of:

                                                                           i.      Doing a mailing to the entire county.  Mailing cost is $543.43

                                                                         ii.      Free day at the range – open to the public – try to get more members.

3)      Lifetime memberships are available.  The cost is $750 upfront.

4)      Keeping the membership list up to date:  Gayle has updated and improved the membership list.  She will upload the document to Google Docs and send the link to Dave so they can coordinate new members and have a master list.  This way the list will always be up to date and won’t get scrambled like it did in the past.  Dave and Gayle are the only people who can access the list.  If we want to allow others in, we can, but folks can just get in there without permission.
